Privacy notice
What is collected, why, who else touches it, and how to get it back or get rid of it.

Who this is about
This notice covers aiautomationforrealestate.com and the product behind it. The operator is aiautomationforrealestate. Questions go to hello@aiautomationforrealestate.com.
Two groups of people appear in this notice. Customers are agents and brokerages with an account.Consumers are the people your leads are: the person who filled in a form or sent a message and ended up in a conversation with the assistant. Their data belongs to you, and this service processes it on your instructions.
What is collected on this website
- Nothing, by default. There is no analytics script, no advertising pixel and no session cookie on the marketing pages. The free tools run in your browser and your inputs are not transmitted.
- If you submit a form: your email address, your consent flag, which page you submitted from, and whatever result snapshot the tool sent along. The contact form also takes your name and message.
- Server logs: standard request logs kept by the hosting provider, including IP address and the page requested. They are used to keep the site up and to rate limit the forms, and they are kept for 30 days.
The demo on /demo runs a fixed script on this server. Messages you type are used to pick a reply and are not stored.
What is collected in the product
| Category | Examples | Why |
|---|---|---|
| Account data | Name, email, brokerage, plan, billing identifiers | To run your account and bill you |
| Configuration | Your qualifying questions, quiet hours, source material | So the assistant answers the way you told it to |
| Conversation data | Messages, transcripts, timestamps, channel | To hold the conversation and write it back to your CRM |
| Consumer contact data | Name, phone, email, property of interest, consent records | To reply, to qualify, and to prove consent later |
| Integration tokens | CRM API keys, calendar authorizations | To read availability and write back the four objects |
Your conversations are not training data
Conversation content is not used to train or fine-tune any model. Where a third-party model provider drafts a reply, the request is made with training opt-out where the provider offers one. If you need the specific provider named in writing for your own compliance file, ask and we will send it.
Who else processes data
This service relies on sub-processors in the categories below. We name the specific companies on request, and we will tell you before adding a category that touches conversation or consumer data.
- Hosting and edge delivery
- Database and file storage
- Authentication
- Payment processing
- Transactional email delivery
- Model provider for drafting replies and listing copy
- Messaging delivery for SMS, once SMS ships. It is coming soon rather than live, so nothing is sent through a messaging provider today.
CRM and calendar providers you connect are not sub-processors of this service. They are your systems, and data written into them is governed by your agreement with them.
Retention
- Conversation transcripts: 24 months by default. You can set a shorter period in your account, and deleting a thread removes it sooner.
- Consent and opt-out records: kept for as long as you have an account, because the point of them is proving what happened.
- Account and billing records: as required by tax and accounting rules.
- Website form submissions, including the waitlist: 24 months, or until you ask us to remove them.
Your rights
Depending on where you live you may have the right to access, correct, delete, or export your data, to object to certain processing, and to opt out of the sale or sharing of personal information. Nothing on this site is sold or shared for advertising.
- Export: available from the account settings, as machine readable files.
- Deletion: deleting a thread removes the messages and the transcript. Deleting an account removes conversation data on the schedule above.
- Consumer requests: if a consumer asks us directly, we will point them to the customer whose account holds their data, and tell that customer.
Requests go to hello@aiautomationforrealestate.com and are answered within 30 days. If you are covered by a state privacy law with its own process, including California, Colorado, Connecticut, Texas and Virginia, say so in your request and we will handle it under that law.
Security
- Transport encryption on everything.
- Integration credentials encrypted at rest.
- Access to production data limited to people who need it.
- If a breach affects your data, you get told within 72 hours of us confirming it, with what we know at that point rather than a final account.
Children
This is a business product and is not directed at anyone under 18. If a consumer who contacted you turns out to be a minor, delete the thread.
Changes
Material changes are announced in the product at least 30 days before they take effect, and the date at the top of this page changes with them.
